Everything you wanted to know about mileage tracking

Mileage tracking can be a tedious job, especially if done manually. But if you aren’t tracking your miles, things can turn into a dangerous guessing game that not only puts you at risk in the case of an IRS audit, but also costs you money every month.

Luckily, there are tools that can make this job easy, accurate and stress-free, no matter your industry or role.

So, we’re going to explore everything you need to know about mileage tracking. We’ll talk about different tools and apps, the benefits of mileage trackers, why they are important and how they can make your work life at least a little bit easier.

Guide Topics

What is mileage tracking?

“Mileage tracking” is a term that’s used to describe keeping track of the distance traveled by a vehicle. Although the phrase contains the word “mile” in it, it’s still used whether you’re measuring in miles or kilometers.

It’s typically important for people who drive for work. So, delivery drivers, rideshare drivers, real estate agents, salespeople, home care workers etc. – and the businesses that employ them, whether that’s yourself (you’re self-employed) or a Fortune 500 enterprise.

For self-employed individuals, good records of miles driven for work helps maximize deductions when filing for taxes. For employees and companies, those mileage records are needed for tax-free reimbursement.

What are the different types of mileage trackers?

Paper logs and digital manual logs

Although they aren’t as common as before, paper logs are still widely used for mileage tracking. With this option, drivers write down their mileage for each trip, as well as where they drove and the date of each trip.

Digital logs are quite similar to paper logs. The only difference is that they're done in digital format, using apps like Google Sheets, Microsoft Excel or even the Notes app on your phone.

There are plenty of free mileage log templates you can find online. They typically include all the information you need to capture for IRS compliance and incorporate the IRS standardized mileage rate, which makes calculations a little bit easier.

If employees or companies are tracking miles in this way, drivers need to send the logs to their manager or a department that's in charge of employee reimbursements for approval. Then someone typically has to manually input the amounts into the payroll system for payment. It’s a tedious and time-consuming process, on top of which the logs may not be accurate. Managers can be suspicious, drivers could forget to input their data, and in the end it could be a losing game for everyone involved.

There are less steps involved for the self-employed, though you still have to worry about forgetting to track miles, adding them all up and getting the logs over to an accountant if you’re using one.

Plus, with paper or even something that’s saved on your computer, there’s always the risk of losing the logs or accidental deletion.

Physical devices

There are physical devices that can be installed in your car to track miles. And while they can be really accurate and only track when you’re driving, their installation can be quite costly depending on the device you choose.

You might need to get a professional to install and set up the device, and you’ll also need to pay for the device itself and its maintenance. Additionally, a device is tied to a specific vehicle, so if you have multiple vehicles you'll need to install separate devices into each of them.

If you’re an individual or a business with a small fleet, this option could work. However, there are more affordable options on the market.

Mileage tracking apps

Mileage tracker apps are currently the most popular method to keep track of mileage. Self-employed drivers, employees and companies love them because they’re easy to set up and use, they are affordable, but most importantly, they are an accurate and reliable way to track miles.

Some apps are manual, meaning that users have to manually go into the app to start and stop their trip each time they’re traveling. However, many have an automatic mileage tracking option, which means the app detects when the vehicle is in motion without any input from the driver and starts tracking a trip.

There are also plenty of other cool features and benefits of mileage tracker apps, but more on that later.

Benefits of using a mileage tracker app

Apps that track mileage have numerous benefits, both for drivers and employers. From having accurate data with minimal work, to peace of mind with IRS-compliant reports, let’s explore the details next.

It’s accurate

Accuracy is the core benefit of the best mileage tracker apps. If it doesn’t accurately reflect how many miles were actually driven, mileage tracking isn’t very useful to anyone (but it’s not as common as you would hope).

What does accuracy mean for the self-employed?

With an app that tracks mileage reliably, self-employed individuals can feel confident you have complete and accurate records of your business miles. When it comes time to file your taxes, you’ll be ready to maximize your tax deductions and minimize your tax bill, or even get a refund.

What does accuracy mean for companies?

Employers that are using business mileage tracking apps also have clean records of miles driven for IRS compliance.

If employees are driving company cars, companies can accurately calculate the amount of any taxable fringe benefit, as well as verify mileage compared to fuel spend. If employees are driving personal vehicles and getting reimbursed, the company and employees can both feel certain that they're reimbursing actual business miles, not more or less.

The other data that gets captured with mileage tracking apps, like start and stop times and destinations, can also be useful for business insights, like how much time is spent driving and what are the most frequently visited locations.

It saves time

Even mileage tracking apps with a manual component can cut down on the time spent on mileage reports because drivers don’t have to write down the details of every trip. Some apps are also able to automatically classify trips as personal or work-related depending on the route, further cutting time spent tracking and managing mileage.

How do self-employed individuals save time?

Some apps have manual tracking options, while other mileage tracking apps offer automatic tracking as well as different customizable features that cut down on work. Both save time because they eliminate the task of calculating each trip’s mileage and writing it down, along with recording the trip date and location. The app does all of that with great accuracy.

As a result, you can fully focus on your work instead of wasting time on things like tracking mileage or worrying about whether all data has been recorded correctly.

How do companies save time?

A mileage tracker app is much easier to set up and manage than manual logs. Yes, it might take some brief training and getting used to how the app works, but in the long run, both managers and drivers save time on mileage reporting and approvals.

Besides that, it will save time for employees on the road time the same way it does for self-employed individuals – by eliminating the need to manually record mileage. Even if employees only spent 15 minutes a day tracking mileage without an app, that adds up to over an hour a week and 5 hours a month!

It saves money

Even though paper or digital manual logs are the lowest cost way to track miles, mileage tracker apps are a more affordable option than physical devices. And if they capture mileage more accurately, they'll turn out to be bigger money savers, easily justifying any cost for the app.

How do the self-employed save money?

Self-employed indivuals who track miles through an app will have an easier time come tax season because the app will have recorded your business miles all year long, not missing any the way a manual system likely would. You can confidently claim your full mileage deduction, which means saving money by paying less in taxes or getting a bigger refund.

In 2023, every mileage driven for work is worth an all-time high of 65.5 cents in tax deductions. So every additional 100 miles a mileage tracking app captures translates to reducing your taxable income by a whopping $6,550!

Beyond mileage deductions, some apps can also help track and identify other potential tax deductions, further lowering your tax burden.

How do companies save money?

Similarly, the most direct way for companies to save money is by reducing their tax burden on employee reimbursements. If mileage logs are used to substantiate the amount that a company pays employees for driving their personal vehicle for work, that reimbursement is not taxable for the company or the employee. Both save money!

In addition, time is money, and that’s most apparent when employees are paid for their time. Saving them time, as described above, can lead to direct savings.

Finally, businesses who start using a mileage tracking app typically see 10-35% mileage reimbursement savings. With an accurate app, there is no doubt that the company is paying exactly what they should in mileage reimbursements - for all of the actual miles that employees drove for work, but not anything more from mileage that may was rounded up, inflated or submitted for reimbursement when it shouldn’t have.

It keeps you stress-free and organized

Mileage trackers, especially automatic ones, can make a driver’s life a lot easier. They start and stop tracking based on vehicle movement, they automatically log the mileage and they securely store it in the cloud. No more worrying about forgetting to track miles or losing records.

What does it mean for self-employed individuals?

Come tax time, your mileage logs are already organized and ready to submit to your accountant, or for your own reference. If you do get audited by the IRS, you have the documentation you need to backup your mileage deduction, also ready and organized. It’s complete peace of mind.

What does it mean for companies?

Mileage tracking and reporting can be one less thing companies have to worry about. And just like for the self-employed, they’re already prepared in case of an IS audit.

In addition, some apps offer advanced classification and tagging options, so you can easily account for mileage spend and allocate it to the right cost centers.

How do mileage tracker apps work?

Most mileage tracking apps can be divided into three groups: manual entry, manual start and automatic trackers. But, there are apps that have all three options and you can use whichever suits your needs best in different situations.

Manual entry apps are similar to old-school paper mileage trackers. Users have to input their starting point and destination one-by-one. Based on that, the app calculates the mileage between the two locations and saves it.

Manual start apps require users to click a button to start/stop tracking their drive. Once started, the app automatically tracks their movements to determine the mileage for their trips. Afterward, they can classify them as personal or business trips.

On the other hand, automatic trackers start tracking automatically when they detect movement above a certain speed, no button push required. They also know when to stop a trip based on factors like movement no longer being detected or the speed slowing to a walk. Afterward, users can also classify trips as personal or business.

Automatic mileage trackers are a great option because the app runs in the background and doesn't require any input from the driver. It's also worth noting that trackers use GPS to track a phone’s specific location, and some of them (like Everlance) can record and show you the trip routes too.

The apps store all the data related to the tracked trip and users can download or share the data if they need to.

Who should use mileage tracking apps?

Mileage tracker apps are most impactful if you use your personal vehicle for work, and need to separate your business trips and personal trips for tax deduction purposes. If you're self-employed, every business mile you drive is tax deductible and worth the IRS mileage rate set for that year

Most popularly, mileage tracker apps are used by self-employed individuals, like realtors, tradespeople, home care workers, consultants, or any other mobile workers. This includes 1099 contractors, such as those who drive for DoorDash, Lyft, Uber Shipt and other gig economy apps.

Beyond that, mileage tracking apps are used by companies - both those that own a fleet and those with employees driving personal vehicles for work. Fleets use them to easily determine fringe benefits for employees who can take company vehicles home to maintain IRS compliance, as well as increase driver accountability and gain insight into business operations. On the other hand, businesses whose employees drive their own vehicles use apps to stay on top of mileage reimbursements.

If you’re an employee at a company that doesn’t have a specific method for mileage tracking, you should still use a business mileage tracking app to record your trips. They save you from having to write down your mileage and ensure you capture all your miles. Getting an app for yourself means you can prepare expense reports without any hassle.

Are there any downsides to using a mileage tracking app?

Like with every other app on the market, there are certain pros and cons of using mileage trackers. We already spoke about the benefits, but let’s discuss what could be potential risks and concerns with mileage tracking apps.

The downsides do depend on the type of app you’re using. So, if you’re using an app that only allows manual entry, it’s like you’re still using paper logs. The process remains tedious, and there’s still a chance that you could forget to input a trip.

Manual start apps are nice and straightforward – until you forget to start or stop your trip. Then you still have to go back and guess how many miles you drove.

And while automatic tracking is our favorite, it’s not without its faults either. The app could glitch, or not classify your trip correctly. That’s why we recommend that you check your logs regularly, regardless of what type of app you’re using.

Some people also have privacy concerns when it comes to tracking apps. They might be worried about all of their movements being tracked, who has access to their data, and if it’s kept safe. Individual apps differ on their privacy practices and how your data is used, so you should check a specific app’s policy if it’s important you.

Lastly, the cost of mileage trackers could potentially be a downside. No business wants to spend money if they don’t have to and getting another tool might not seem like a good idea at first. But you should treat it like a business decision and weigh the potential savings you’ll get from using a mileage tracking app against it’s cost to determine if it makes sense. There are also free options, which we’ll turn to next.

How much do mileage tracking apps cost?

A mileage tracker app costs anywhere from $0 (free) to upwards of $35 per month.

The same app might have both a free and paid version, with a key difference between them being the number of trips you can track. Paid versions allow you to track unlimited trips, while free versions set their limit at a specific number of trips per month.

Another important difference between free and premium versions is that they differentiate between automatically tracked trips and manual start or manual entry trips. Many free apps only offer manual tracking.

Some apps also offer some type of free trial of their premium version, so you're able to test it out to see if you need the added capabilities without spending anything.

In the end, if you pay for an app, you can expect to get a discount if you're being billed annually vs. monthly. The discount is usually 10-20%.

To give you a better picture of how prices vary, we took a look at five popular tracking apps and compared the monthly costs for their different versions.

Most important features of mileage trackers

Since there are many different apps that claim to track mileage, choosing the one that’s going to be perfect for you can feel overwhelming. To make the decision a bit easier, here is a list of top features you should be looking for when you’re searching for the best app to track mileage.

Accuracy and reliability

Although these are not features in a traditional sense, a tracker that’s not accurate and reliable isn’t worth much. But, the only way to ensure that your app of choice does what it claims is to test it. So take advantage of those free trials to verify the accuracy and reliability of apps before settling on one.

Multiple tracking options

An app that can automatically track your mileage is great, but a manual tracking option may be more suited for some needs. Maybe you’re a business owner who wants to give their employees more flexibility when it comes to tracking to address any privacy concerns they might have. Or you just want to have a backup plan in case something happens and a trip doesn’t get tracked automatically.

That’s why we recommend you look for a vehicle mileage tracker that gives you auto-tracking, manual tracking and even manual entries.

Trip classification

Not every trip you take is going to be business-related, so you’ll have to mark your trips as personal or business. This option will keep your records accurate and clean.

Pro tip: if you drive a lot and don’t want to spend too much time classifying your trips, you can look for an app that has auto-classification to make the process faster.

Auto-classification works great with automatic trip detection, as well as with manual tracking. If an app offers this, a user can set specific “work hours” in it. Any trips taken during those hours are automatically classified as Work, and anything outside those hours as Personal. Another way you might be able to auto-classify is by setting up with “favorite trips” with set starting and ending points. If a trip matches a favorite trip, the app automatically classifies it as Personal, Work, or another custom category that you’ve set.

Visual route maps

The best mileage tracker apps will show you an actual map of the route you took on your trip. This feature makes it easier for you to recognize the trip at a glance, so you can quickly classify it as a business or personal trip.

Data export and sharing

It’s convenient that a mileage tracking app keeps a record of all your miles for you, but what happens when you need to share that information with someone else, like your accountant or the IRS?

You’ll want to be able to get your data out of the app, in a format that’s convenient for you, like a PDF or Excel spreadsheet. And be able to do so quickly and easily.

Data security

Mileage trackers work based on GPS tracking, and your location, routes and trips will be saved within the app. You need to make sure that the app developers have measures in place to protect your data – you don’t want just anyone to be able to get into your account and see potentially sensitive data about you.

Pay attention to who can access your data, whether or not it's sold, and if you can control whether it’s shared or kept private.

Expense tracking

While it’s not a must, expense tracking (especially automatic expense tracking) is a great bonus feature. Both the self-employed and employees typically have business expenses outside of mileage that they want to track like tolls, parking fees and gifts for clients.

If a mileage tracking app also offers expense tracking, you can keep everything in the same place and have one less app to manage. Plus, you’ll get a better picture of your total expenses.

The best mileage tracker apps

There’s no foolproof way to determine the best mileage tracking app. Looking at user reviews on app stores is a good way - all those people probably aren’t wrong. But the best mileage tracker for you will still depend on your own feature requirements and personal experience with an app.

To get you started, let’s take a look at five popular apps on the market and the main pros and cons of each.

Pro tip: If you have the option, we recommend that you get a free trial of all the apps you’re interested in and “road test” them before deciding on the one that’s best for you.

Everlance

With Everlance, you can track your trips automatically, manually start/stop the tracker or manually log your trips. The app also checks all of the boxes in terms of accuracy and reliability, visual route maps, data export, security and expense tracking.

It's suitable for both individuals and businesses and offers a free version to both types of users. These allow you to see for yourself why Everlance is the best mileage tracking app according to user reviews, with a whopping 4.8 stars in the App Store.

Then if you need more trips every month or want more advanced service and features, you can consider upgrading to a premium version. Prices start at $5 per month for individuals and $10 per month for businesses when billed annually.

Stride

Stride is a free app that lets you track mileage and expenses. It’s quite basic, but if you aren’t looking for customization options or some more advanced features, it might be a good app for you.

It’s available for Android and Apple devices, and it has good customer reviews. However, it is developed by a company that focuses on health insurance, so you can expect ads related to their other product.

The app makers are also entirely focused on independent workers, so it’s definitely more suitable for the self-employed than for employees or businesses.

Quickbooks Self-Employed

As the name implies, Quickbooks also has a mileage tracker specifically for independent contractors and freelancers. However, they don’t offer a free version of the app, so if you want to use it, their plans start at $15 per month.

That price does include a few other basic bookkeeping tools to help you get started at least. They also do offer a free trial, so that you can test the app before purchasing.

We like that they offer both manual and automatic tracking, since this makes the app suitable for different types of users.

MileIQ

MileIQ has plans for both teams and individuals. The app has automatic tracking capabilities and you can manually input the information for a trip, but there is no option to manually start the tracker. It also makes it easy to classify trips and provides summary reports that can be viewed in the app or on their dashboard.

Unfortunately, the free version of the app is available for 40 drives only. This amount gives you plenty of time to test the accuracy and reliability of the app, but if you want to keep using it you will have to pay $5.99 per month, or $60 for a yearly subscription.

Triplog

Triplog offers individual plans, but their app and features seem to be more focused on business users. Their user interface is more complex and can become confusing for someone who just needs basic mileage tracking. That said, their app does offer all the capabilities you’d expect, including automatic mileage tracking, classification and reporting – if you pay for it.

The free Lite plan for individuals is limited to manual trip tracking and 40 trips. The Premium plan incorporate automatic mileage tracking as well, for the same price as MileIQ. Business plans start at $10 per month, and they do offer a free trial.

FAQs

What is the best way to track mileage?

Our favorite way to track miles is using an automatic mileage tracker. They are convenient, accurate, reliable, you'll never miss a mile and you can be certain you have IRS-compliant records of all actual miles driven, whether that’s for tax deduction or reimbursement.

For IRS compliance, a mileage log not only has to show the miles driven, but also the date, destination and purpose of each trip. There should be a separate entry for every trip, and it should be made around the time the trip took place. Learn more about the IRS mileage log requirements here.

What is the best mileage tracking app?

Figuring out the best mileage tracker is a purely personal decision. If you enjoy more advanced features, you'll like an advanced app with lots of options for customization. But simple tools have their own benefits. In the end, it boils down to how you're using the app.

User reviews can also be quite helpful when comparing apps. Check for those that have the highest ranking with a large number of reviews.

What is the impact of a mileage tracker app on phone battery life?

Your battery life will be affected, but not by much if you’re using the right app. For example, Everlance users typically only see 2-3% battery usage, even with the app always open in the background. You can use these instruction check how much battery an app is using on Apple and Android.

Rest assured, a reliable app will still record your mileage. GPS will track your trip, and the app will log it in the system when you’re back in an area with signal.

Who can see the mileage and trips I’ve tracked?

It depends on the app. Some allow employers to see everything, while some only allow them to see business trips to protect employee privacy. Anyone that you give specific permission to, like your accountant, can see your mileage too.

Is there a free mileage tracking app?

Yes, many mileage tracker apps offer a free version, which is usually limited but more than enough if you don’t drive a lot for work.

How much do mileage tracker apps cost?

There are several free mileage tracking apps available, though you typically get less in terms of the number of trips tracked, automatic tracking, support, etc. Paid versions with those limitations removed cost between $5 to upwards of $35 per month.
